The organisers will make every effort to ensure that there is a variety of products on sale at any one fair. The organisers will endeavour to advertise the fairs to attract as many visitors as possible.
General Conditions
1. Costs
Except where stated otherwise, the cost of a stall per day is:
- 1 table: £15.00
- 1½ tables: £20.00
- 2 tables: £25.00
Payment for Tables - Stallholders are requested to pay for their first event at the time of booking and will then be invoiced approximately one month prior to each subsequent event booked. Where a booking is made less than one month prior to the event, payment is required in full at the time of booking. Failure to make a payment by the due date for an event may result in the table(s) being re-sold.
2. Cancellations
Cancellations must be made two weeks in advance or stallholders will lose their fees unless the table can be re-sold. Every effort will be made to re-sell cancelled tables.
3. Opening Hours
Fairs will normally open between 10:00 am – 5:00 pm. Any changes to these times will be shown on the booking form and on the Cotswold Fairs website.
4. Set Up
Stallholders may start setting up from 8:15 am. Tables should be ready 10 minutes before the opening time.
5. Dismantling
Stallholders are asked to refrain from dismantling their table until the end of the fair.
6. Tables
Except where stated otherwise, tables will be provided. Tables may not be re-arranged without the consent of the organisers but stands, rails, easels, etc may be erected within the allocated space in place of the tables provided. Stallholders must keep their products within their allocated space keeping spaces between allocated stalls clear at all times.
7. Category of Goods
Stallholders must only display goods for sale which have been agreed with the organisers. This is to avoid duplication of types of products.
Legal and Individual Requirements
8. Insurance
The organisers hold Public Liability Insurance cover for events. However, all stallholders must have their own Public Liability Insurance cover.
9. Food Hygiene Regulations
Current Basic Hygiene Certificates are required for consumable goods and must be displayed on the stall. A copy of the certificate must be given to the organisers for their records. Failure to produce a valid certificate will result in the withdrawal of booked tables.
10. Copyright
It is the responsibility of the seller to obtain appropriate permissions to sell goods subject to copyright. This includes extracts or samples taken from copyrighted material. Evidence of such permission must be made available to the organisers who may, at their discretion, require the withdrawal of goods where they feel there may be a breach of copyright.
11. Electrical Equipment
All stallholders using mains electrical equipment must have a valid Portable Appliance Test (PAT) certificate and stickers on all equipment. Any stallholder requiring a power supply should request this on the booking form.
12. Tax
It is the responsibility of the individual stallholders to maintain records of sales and declare any tax due.
